We are seeking a highly organized and detail-oriented Temporary Executive Assistant to support the Executive Director of our sober living residence in Holualoa. This is a short-term assignment lasting approximately 3 to 5 months, focused on helping the Executive Director manage a backlog of tasks and streamline daily operations.

$25 an hourResponsibilities
- Assist the Executive Director with various administrative duties
- Manage filing systems, including auditing contracts and cleaning files
- Conduct HR file set-up and audit checks for staff files
- Perform personal and business errands as needed
- Track deadlines and manage paperwork for projects, contracts, and grants
- Organize digital and physical documents, ensuring information is current and easily accessible
- Post job listings, manage applications, and schedule interviews
- Assist with onboarding new employees and collect hiring paperwork
- Maintain accurate and confidential personnel files
- Track staff certifications, background checks, and training requirements
- Support HR and administrative systems to ensure efficient operations
- Assist with grant searches as needed
Qualifications
- Proven experience as an Executive Assistant or in a similar administrative role
- Exceptional organizational and time management skills
- Strong attention to detail and ability to maintain confidentiality
- Proficiency in Microsoft Office Suite and database management
- Excellent verbal and written communication skills
- Ability to work independently and as part of a team
- Flexibility to adapt to changing priorities and deadlines
- Comfort working in an environment with pets, including cats and dogs
- Resilience and ability to handle potentially sensitive or disturbing information
- Understanding of HIPAA regulations and commitment to maintaining client confidentiality
- Ability to comply with a pre-employment drug test, and State and Federal background check
- Valid driver's license, reliable transportation, and clean driving abstract required
