A local organization is seeking a Benefits Administrator to provide administrative, compliance, and participant support across multiple employee benefit programs. This position plays a key role in maintaining accurate records, coordinating communications, and ensuring privacy compliance in accordance with HIPAA regulations.
The ideal candidate is detail-oriented, organized, and experienced in employee benefits, compliance, or related administrative work. This role involves direct collaboration with internal departments, external vendors, and benefit fund participants.

$22 to $23 an hourResponsibilities
- Maintain accurate records, process filings, and manage scanning, storage, and distribution of benefit-related documents.
- Coordinate participant communications, educational meetings, and benefit mailings.
- Prepare benefit enrollment packets and assist with open enrollment activities.
- Support retirement, health, and welfare programs by assisting with applications, payouts, and participant inquiries.
- Track Summary Plan Description (SPD) updates and assist with board meeting preparations.
- Manage department supply orders, meeting schedules, and general administrative support.
- Coordinate with vendors and service providers on participant notices, mailings, and document uploads.
- Assist with special projects and corporate function planning as assigned.
- Draft and maintain Business Associate Agreements (BAAs).
- Investigate potential privacy incidents and document findings in accordance with HIPAA requirements.
- Maintain incident logs and ensure appropriate breach determinations.
- Conduct HIPAA privacy training for new hires and annual training for staff.
- Ensure compliance with all established HIPAA Privacy Policies and Procedures.
- Process COBRA payments, eligibility updates, and related reporting.
- Reconcile benefit billing, assist with rate calculations, and prepare reports for fund administrators.
- Process select claims (e.g., chiropractic, acupuncture) and issue payments to members or providers.
- Verify eligibility and process applications for financial security and 401(k) funds.
- Provide responsive member support for inquiries and documentation requests.
Qualifications
- High School Diploma or equivalent required; college coursework in Business Administration, Human Resources, or related field preferred.
- 2–3 years of experience in benefits administration, healthcare compliance, or related administrative role.
- Strong attention to detail and accuracy.
- Working knowledge of HIPAA privacy standards.
- Proficient in Microsoft Office applications (Word, Excel, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Experience working with benefit plans or union trust funds a plus.
