We're immediately seeking an experience Contracts Coordinator for a full-time opening with a large mechanical contractor. The Contracts Coordinator is responsible for managing the contract process for small and large projects.

$75,000 to $120,000 a year

Responsibilities

  • Coordinate the contract intake and review process with key stakeholders.
  • Engage and support construction contract workflows.
  • Serve as the point person to internal and external customers for review and administration of new construction and service contracts.
  • Provide detailed contract status reporting, i.e. contracts pending review, contracts signed and sent to appropriate parties, and returned contracts.
  • Track projects without contracts and ensure all insurance and reporting requirements have been mitigated until contract has been finalized.
  • Develop standards for contracts, including presentation of general language and provisions.
  • Request and track bonds as required in contracts. Update and maintain a Bonded Projects Log.
  • Manage Certificate of Insurance (COI) process, including engaging broker’s team for COI’s, maintaining lists of COI status, and organizing documents in appropriate repositories for easy access.
  • Prepare Job Setup sheets and ensure all requisite elements are flagged- i.e. OCIP/CCIP, Certified Payroll, Warranty requirements, Tax Exempt status, etc.
  • Oversee and manage subcontractor insurance and payment processes. Audit projects to ensure subcontractors are maintaining correct insurance coverage and have all Lien Releases in place before finalizing payments. Engage Project Managers and Service Managers in subcontractor invoice review process.
  • Perform other duties as assigned.

Qualifications

  • Previous experience routing, coordinating, and organizing contracts, preferably in construction.
  • Experience with construction claims and litigation a plus.
  • Strong communication (verbal, written, interpersonal) skills.
  • Strong analytical, organizational, time management, multitasking, and problem-solving skills.
  • Maintain high levels of confidentiality.
  • Able to work in a dynamic and high-pressure environment.
  • Able to work independently and in a team setting.
